ROLE OVERVIEW
You will join a dynamic small local team with an international scope of responsibilities. The GM Office Assistant has a relevant role as you will handle the office, providing comprehensive administrative support, being the central point of contact while giving support to the GM helping him and the team thrive, achieve results and perform better.
In addition, the role will coordinate processes, follow up initiatives, ACT PROACTIVELY, make decisions when needed and anticipate opportunities ensuring successful results
This position requires exceptional organizational skills, strategic vision, and multi-tasking abilities, together with a proactive approach to problem-solving.

RESPONSIBILITIES

1. MANAGE the weekly agenda scheduling meetings and appointments.
2. LEAD our external partners (lawyers, accountants, suppliers, agencies, etc)
3. Maintain ACCURATE records and files, both electronic and physical, ensuring confidentiality and data security.
4. HANDLE administrative tasks as assigned by GM (tabling expenses and preparing/tracking invoices and making sure the payments are done on time).
5. Prioritize, schedule and organize incoming COMMUNICATIONS, including emails, calls, and meetings.
6. COLLABORATE with internal teams to facilitate effective communication and workflow.
7. SUPPORT different areas of their daily work and objectives.
8. Prepare presentations, and other MEETINGS MATERIALS.

· FLEXIBILITY and adaptability: Thrive in a fast-paced and ever-changing environment, problem-solving, proactive, responsive

QUALIFICATIONS

· Work experience: +4 years working as a management assistant capacity
· Professional secretarial/administrative training
· PC and digital environment literate
· English professional level
· Discreet and sensitive: able to communicate with gentleness and handle confidential information

NICE TO HAVE

· University degree
· International experience
· Finance and accountability knowledge
· Experience in the sector
