About the Role:
We are seeking a highly organized and proactive Administrative / Project Coordinator to support day-to-day operations and project workflows. The ideal candidate will have experience working with U.S.-based companies and a strong background in administrative support and project coordination. Experience in the construction, architecture, or related sectors is a plus, but not required.
Key Responsibilities:
Provide administrative support to executive and project management teams
Coordinate project timelines, deliverables, and team communications
Prepare reports, meeting notes, schedules, and status updates
Manage email correspondence and respond to client inquiries in a timely manner
Track budgets, invoices, purchase orders, and documentation as needed
Organize digital files, maintain databases, and ensure project documentation is up to date
Assist in coordinating subcontractors, vendors, and third-party consultants
Monitor deadlines and follow up with relevant stakeholders to ensure timely delivery
Perform general office duties including scheduling meetings, handling documentation, and supporting internal team operations
Required Qualifications:
2+ years of experience in an administrative or project coordination role
Prior experience working remotely for a U.S.-based company
Strong organizational and multitasking skills
Excellent communication skills in English (written and verbal)
Proficient in Google Workspace, Microsoft Office, and project management tools (e.g., Trello, Asana, or Monday.com)
Ability to work independently, take initiative, and manage deadlines with minimal supervision
Preferred Qualifications:
Familiarity with the construction, architecture, or engineering industry
Basic understanding of project lifecycles in service-based businesses
Experience working with contractors, permits, or procurement documentation
