Overview
We are looking to hire a highly organized and detail-oriented Virtual Assistant to support our
sales team with CRM management, lead follow-up, and sales operations. This role plays a
critical part in keeping our CRM clean, actionable, and conversion-focused, while also helping
re-engage existing leads and support the sales team with proposals and client communication.
This position has two primary responsibilities:
1. Daily CRM hygiene and organization
2. Re-engaging and re-targeting existing leads in the CRM

Key Responsibilities
1. CRM Hygiene & Sales Support
● Maintain daily CRM cleanliness and organization
● Ensure leads are correctly placed and updated within the sales pipeline
● Review call recordings and implement detailed notes into the appropriate contact
records
● Assign tasks, reminders, and follow-ups based on call outcomes
● Support sales reps by keeping all contact information accurate and up to date
● Assist with drafting proposals, preparing agreements, and sending sales-related
information to clients

2. Lead Re-Engagement & Retargeting
● Review existing leads in the CRM that have gone cold or stalled

● Analyze previous notes, communications, and video or call recordings to understand
context
● Update contact records with any new or relevant information
● Draft personalized, targeted, and professional follow-up messages via email or SMS
● Reignite conversations with past leads and identify renewed interest
● Hand qualified and engaged prospects back to the sales team for continued follow-up
and closing

Required Skills & Experience
● Proven experience managing CRM systems and maintaining CRM hygiene
● Strong organizational skills and exceptional attention to detail
● Experience supporting sales teams or sales operations
● Ability to write clear, professional, and personalized email and SMS outreach
● Comfortable reviewing call recordings and extracting key action items
● Ability to work independently and follow established processes

Preferred Tools & Platforms
Experience with the following platforms is strongly preferred:
● Go High Level (GHL)
● Calendly
● Fathom (or similar call recording/note-taking tools)
