About the Role
We are seeking a highly organized, detail-oriented Executive Assistant to the Head of Events with prior experience in event planning or event operations. This role is critical in supporting the execution, promotion, and administration of our events. You will be the operational backbone behind our event strategy, ensuring everything runs smoothly before, during, and after each experience.
You are someone who thrives behind the scenes, loves structure, and understands the fast-paced nature of events. You are proactive, reliable, and take pride in keeping things organized so the creative and experiential side of events can shine.
Key Responsibilities
Event Operations & Administration
Organize and manage event-related receipts, invoices, and contracts
Maintain clear digital filing systems for all event documentation
Track deadlines, deliverables, and important dates related to events
Event Promotion & Communication
Promote upcoming events to members via Slack and email
Draft and schedule clear event communications
Coordinate with internal teams to ensure accurate event messaging
Event Setup & Management
Add and update events in the company app and internal platforms
Ensure event details (dates, times, locations, descriptions) are accurate and up to date
Support event logistics and last-minute coordination as needed
Qualifications
Prior experience in event planning, event coordination, or event operations (required)
Strong organizational and time-management skills
Excellent written communication skills
High attention to detail and ability to multitask
Comfortable working remotely and independently
Must be based in the Eastern Time Zone or willing to work Eastern Time hours
Ability to anticipate needs and be proactive
